Privacy Policy

This privacy policy has been written based on the guidance given by the UK Information Commissioner’s Office to small businesses and sole traders. The purpose of this policy is to explain how I comply with that guidance, and, if you have visited funlittlelinguists.co.uk, contacted me or attended a class, you should read this page to reassure yourself that I am looking after your data responsibly.

The data that I hold

  • Names and email addresses of people that have contacted me at [email protected] - I hold this data for the purpose of sending invoices, arranging classes and notifying attendees of any relevant information.
  • Supplementary data that is provided by people in their email correspondence - this may include data such as the names, gender and ages of children attending the class. I hold this data for the purpose of tailoring classes so that attendees may get the best experience possible with Fun Little Linguists.
  • Website access logs for funlittlelinguists.co.uk containing the IP addresses of website visitors - I hold this data for the purpose of resolving technical issues with this website.
  • Anonymous website usage statistics for funlittlelinguists.co.uk - I hold this data so that I can better understand how people use this website.

Lawful basis for the collection of data

When people email me, they necessarily provide their email address and most likely their name. Any other supplementary data that is provided and is relevant to Fun Little Linguists is held for the purpose of advising the individual, arranging classes and tailoring class content, and is therefore in the legitimate interest of Fun Little Linguists and the individual.

How the data is collected

All data, except that data that is collected solely through visiting funlittlelinguists.co.uk (IP addresses and anonymous usage statistics), is collected through email correspondence initiated by the individual. I do not send emails to people that haven’t previously contacted Fun Little Linguists.

How long the data is held for

  • Names, email addresses and invoices are retained for 7 years.
  • Email correspondence and supplementary data is retained for 1 year after the most recent correspondence.
  • Website access logs and IP addresses are retained for 7 days.
  • Anonymous website usage statistics are retained for 1 year.

Where the data is held

I endeavor to adhere to the best security practices around the storage of personal data.

  • For my records I maintain a spreadsheet of client data on my personal computer. This is encrypted and password protected. I have an encrypted and password protected cloud backup.
  • Email correspondence is password protected and is held by my cloud email provider (gandi.net), and on devices that I use to access this email.
  • Anonymous statistics and access logs for funlittlelinguists.co.uk are stored securely on a server to which only my husband and I have access.

Who has access to the data

I do not share data with any third party organisations except where I am legally required to or where I reasonably believe that the use or disclosure is necessary to lessen or prevent a serious, immediate threat to someone’s health or safety or the public’s health or safety. I am the only person with access to client data and email correspondence. My husband and I have access to the access logs and anonymous usage statistics for funlittlelinguists.co.uk.

Your data protection rights

Under data protection law, you have rights including:

  • Your right of access - you have the right to ask me for copies of your personal data.
  • Your right to rectification - you have the right to ask me to rectify personal data you think is inaccurate. You also have the right to ask me to complete data you think is incomplete.

  • Your right to restriction of processing - you have the right to ask me to restrict the processing of your personal data in certain circumstances.
  • Your right to object to processing - you have the the right to object to the processing of your personal data in certain circumstances.
  • Your right to data portability - you have the right to ask that I transfer the personal data you gave me to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, legally I have one month to respond to you; however I will endeavor to respond much more promptly.
